Article V LEADERSHIP
Clause
1. There shall be a body (both male and female) from the “Lante Djan
We” who shall serve as Board of Trustees of the Association.
a. They shall serve as the front lines of the association.
b. They shall serve as the rightful establishers of the
association.
c. They shall serve as signatories to the association’s
registration and all legal documentations.
2. There shall be two member committee who shall serve as Patrons of
the association.
3. The shall be 9 elected officers who shall serve as executive board of
the Family and shall include:
Section 1). President:
i. Shall in every meeting (Executives and General
Meetings) chair the meeting.
ii. The chairman shall represent the family in all
gathering on less otherwise determined by the
house.
iii. The chairman shall summon meetings to be
organized by the organizing secretary.
iv. He shall make sure preparation and reading of
financial account is read to the house every six
months.
v. The President shall be required to endorse all
payments (vouchers) for proper accounting.
vi. In his absence, the vice president shall chair all
meetings and perform his functions until he is able
to return to his post
vii. He/she shall serve as a point of contact for the
family,
viii. He/she vote only in the case of a tie,
ix. He/she shall establish goals for the family to work
toward, etc.
Section 2). Vice President:
i. He/she shall be assign responsibilities by the
President
ii. He/she shall serve in absence of the President
iii. He/she shall perform all duties in the absence of the
president.
iv. He/she shall brief the president all decision taken
by the house.
Section 3). Secretary
i. The secretary shall be responsible for handling all
documentations within the Family.
ii. The secretary shall convene meetings, subject to
the fulfillment of all necessary preconditions
stipulated under the constitution
iii. The secretary shall record minutes during meetings
and shall read out minutes for commencement of
meetings.
iv. The secretary shall not perform the function
assigned in clause (ii) without the prior
authorization or endorsement of the House, the
executive Board or in case of emergency, the
president.
v. In the absence of the secretary, the chairman shall
exercise his discretion to appoint an interim
secretary to perform in his stead until he is able to
resume his function.
vi. The secretary shall collect and keep all data of
members.
vii. The Secretary shall hold authority of power to
direct all administration activities as his/her
position deem fit.
viii. In the absence of President, and the vice president,
the secretary shall hold position in authority to run
the family.
Section 4). Assistance Secretary
i. She/he shall have same responsibilities as the
secretary.
ii. He/she shall be assigned special duties by the
secretary and the President.
iii. He/she shall perform all duties in the absence of
the secretary.
iv. He/she shall report to the secretary all decision
taken by the house.
Section 5). Financial Secretary
i. He/she shall receive all money such as dues,
donations, gifts on behave of the family and record
them.
ii. He/she inform the house of all money received at
every executive and general meetings
iii. He/she shall be a signatory together with the
President and any person (appointed by the house
by unanimous decision) to the family’s bank
account.
iv. He/she shall deposit all money received in the name
of the family and report the transaction to the
President.
v. He/she shall keep record of all monies deposited,
withdrawn and expended;
vi. Prepare and read the financial statements to the
family every six month.
vii. He/she shall operate an impress budget of Ghc 100
every month.
Section 6). Treasurer
i. He/shall keep all record of funds.
ii. He/shall keep impress
iii. He/she shall disburse all funding for an activity in
consultation with the financial secretary.
Section 6). The Organizing secretary: (male and Female)
i. He/she shall organize all gathering of the family,
ii. He/she shall lead in the preparation meeting place
for all meetings.
iii. He/she shall make calls to all executive members
for all executive meetings.
iv. He/she shall make all necessary phone calls to
members and organizations
in view of programmes and activities.
v. He/she shall mandate any executive or member
closer to place of activity for a special assignment.
Section 7). 1st Committee Member:
i. A committee member in-charge of discipline.
ii. He/she shall suggest disciplinary action against any
member who fraught the laws of the association.
iii. He/she shall make known the rules and regulations
governing the association and the sanctions that
comes with it.
Section 8). 2 nd Committee Member:
i. He /she shall be assigned special duties by the
President.
